Scope
These terms apply to custom trip requests, travel planning support, quotations, and bookings arranged or confirmed through Explore Uganda unless separate written terms are provided for a specific trip or supplier.
Enquiries and Quotations
Trip requests submitted through the website are treated as enquiries until availability, pricing, and trip details are confirmed in writing. Quotations may change before confirmation if supplier costs, permits, taxes, exchange rates, or availability change.
Booking Confirmation
A booking is considered confirmed only after Explore Uganda confirms it in writing and any required deposit or payment has been received. Permit-based services, limited-availability lodges, and similar items may require prompt payment to secure space.
Payments
- Deposit and final payment deadlines will be shared with the traveler during the booking process.
- Where payment providers or banks apply transaction fees, currency conversion costs, or transfer fees, those charges may remain the traveler’s responsibility unless stated otherwise.
- If payment is not received by the stated deadline, a booking may be suspended, repriced, or cancelled.
Changes Requested by the Traveler
If you request changes after a booking has been quoted or confirmed, we will try to accommodate them, but revised pricing, new supplier terms, additional permit costs, or change fees may apply. Some changes may not be possible once permits or supplier services are secured.
Cancellations and Refunds for Trips
Cancellation terms may vary depending on the trip, lodge, transport provider, permit type, and how close the cancellation is to the travel date. Any non-refundable permits, supplier deposits, bank charges, or already-incurred service costs may be deducted from any refund due.
Where a supplier applies stricter rules, those supplier rules may control the refundable amount.
Changes by Explore Uganda or Suppliers
Occasionally routes, accommodation, activities, transport arrangements, or timings may need to change because of weather, park rules, road conditions, safety concerns, supplier issues, or events outside reasonable control. We will try to provide a suitable alternative where possible.
Traveler Responsibilities
- Provide accurate names, contact details, passport or permit details when requested, and any important travel information relevant to the booking.
- Check visa, vaccination, insurance, and entry requirements for your route and nationality.
- Follow guide, park, wildlife, and safety instructions during the trip.
Liability
Explore Uganda aims to provide accurate planning support and responsible coordination, but cannot guarantee that travel will be free from delays, weather disruption, supplier issues, wildlife unpredictability, border restrictions, or other events outside reasonable control. Nothing on this page limits liability where the law does not permit that limitation.
